VIIS Client Elements
What information do I report to VIIS?
- Demographic information will include the patient’s name, date of birth, gender, telephone number, home address, state or country of birth, and mother’s maiden name (to aid in correct identification for common names).
- Immunization information will include type of immunization administered, date of immunization, person or organization administering the immunization, manufacturer, lot number, and any religious or medical exemption.
- Reactions to previous vaccines or contraindications for the client
Who will enter information into VIIS?
- VDH is pre-populating VIIS with past immunization history by data exchange with health care plans, doctor’s billing systems, birthing hospitals, public health departments, etc.
- VIIS receives weekly birth, death, and adoption data from Virginia Vital Records.
- This means that a large number of the past immunizations for a client may be on file in VIIS before you start using the application.
- Health care professionals providing immunizations in all public and private settings will enter the current data on their client.
- Users will be required to register with VDH and will be required to submit a security and confidentiality form
- The provider accepts the responsibility for the submission of immunization records according to the requirements of the registry legislation, and s/he may authorize any additional members of the office staff to enter the records.
How is information entered into VIIS?
- VIIS allows for two methods for entering and viewing information:
- Manually through user interface (UI):
- Request/receive a file of patients’ immunizations from VIIS via the internet
- Enter/view immunizations on VIIS via the internet
- Electronically by data exchange of immunization batch files(DE):
- Automated submission/receipt of immunization files between VIIS & your systems.
- View/enter immunizations from your system (billing system, medical records system, etc.) and data is automatically passed between your system and VIIS
- You choose the method(s) that works best for you
What if I already have entered immunization information into my own computer system?
- VIIS allows for data exchange using a flat-file or HL7 format
- If you desire to exchange data with VIIS, VDH will provide you with specifications that instruct your software vendors how to build links between existing your clinical record and VIIS.
Who will enter historical immunization data into VIIS?
- VDH is working with health care plans, other state registries, the public health districts, doctor’s billing systems, etc. to pre-populate the immunization histories where possible by electronic means.
- Health care professionals providing immunizations will enter the ongoing data.
