VFC Borrowing

Borrowing is approved only for instances when:
  • There is a lack of vaccine stock because of delayed or spoiled shipments. This bidirectional borrowing does not apply to influenza vaccine.
  • Vaccine will expire soon and will be lost if not used. Provider locations with a small privately insured patient population can use this option to administer short-dated, privately purchased vaccine to a VFC-eligible child and replace it with a longer-dated, VFC dose.
  • New staff calculated ordering intervals incorrectly, leading to a lack of either private or public vaccine stock.
  • VFC seasonal influenza vaccine stock is not yet available. Provider locations may use private stock, seasonal influenza vaccine for VFC-eligible children and replace it when VFC vaccine becomes available. This one-directional borrowing is unique to seasonal influenza vaccine.
Hosting a temporary, off-site, and mass vaccination clinic without appropriate amounts of public and private vaccine does not qualify for borrowing.

Availity for Health Plan Information

Availity Essentials is a free, health-plan-sponsored solution where providers can access real-time information exchange with many of the payers they work with every day. This site can be helpful when clients don’t have their Medicaid/FAMIS cards or switch between Medicaid/FAMIS.

Cost Sharing Ministries vs. Insurance Companies

VA recognized licensed health insurance companies are listed in the State Corporation Commission's (SCC) Bureau of Insurance.
Christian Brothers Services and Medi-Share are not insurance companies but are plans in which member organizations pool their financial contributions to realize greater financial strength and increased purchasing power, which translates to better coverages at significantly reduced rates. Cost sharing ministries membership cards are not insurance cards.

The Vaccine Handbook

The 2022 edition of The Vaccine Handbook App is available in free iOS and Android formats, courtesy of Pediatric Infectious Diseases Society (PIDS). The app is a comprehensive source of practical information for vaccine providers, educators, and advocates.

Holiday Preparations

Plan to order early into November and December to prevent the Thanksgiving and Christmas holiday from interrupting planned deliveries.
November
Placing orders for doses as early as possible during the week of November 14 (the week before Thanksgiving) to ensure that the holiday doesn’t cause any service delivery interruptions.
December
Plan on placing orders as early as possible during the week of December 12 to prevent any service delivery interruptions.

The Order Center will not enter direct-ship orders to avoid deliveries from Merck during the holidays. A few direct-shipments might arrive from Merck since they cannot be held as is done with refrigerated vaccines shipped by McKesson. Providers should indicate any changes to routine hours on the order form.

Adult Vaccine Update

Medicaid Bulletin
As of July 1, 2022, the Department of Medical Assistance Services (DMAS) and its managed care organizations (MCOs) provide coverage for evidence-based, preventive services to all full-benefit, Medicaid adult populations, which includes immunizations. The Vaccines for Adults (VFA) agreement has been updated to reflect this change in eligibility. The Medicare administration fee cap noted in #6 of the VFA agreement is now $16.96.

The 2 page tip sheet covers new CDC recommendations and tools. Adult immunization rates fell drastically during the COVID-19 pandemic. Now is the time to catch them up.
