You can modify your order while the request window is open (see question 4. for order window). Simply go to the provider request page on VaxMaX and change the requested quantity.

VaxMaX allows providers to request additional vaccines only during a specified ordering window. The ordering window is from 5:00 AM EST Thursday thru 7:00 PM EST Monday. Vaccines cannot be requested outside this window.
If you are an active provider and you still do not have the option to request vaccines (during the above ordering window) contact the VaxMaX helpdesk to troubleshoot the issue (vaxmax_help@vdh.virginia.gov).

*Thursday confirmation emails are only for orders greater than or equal to the minimum order qty. For orders placed using the Small Shipment Redistribution Program (SSRP) see below. For orders placed using the Small Shipment Redistribution Program (SSRP), confirmation emails are sent on the Tuesday following your order.
Orders are placed between the normal ordering window (above) for the following week. As an example, if you put a request for doses in on Friday, July 2nd, the request window closes on Monday, July 5th. Those orders are being requested for the week starting, Monday, July 12th. Providers interested in redistributing vaccines must complete a CDC Supplemental COVID-19 Vaccine Redistribution Agreement (virginia.gov) This agreement gives providers permission to redistribute the vaccine. The completed form should be emailed to shannon.suber@vdh.virginia.gov.
To redistribute the vaccine to another CDC-approved provider (following completion of CDC Supplemental Redistribution Agreement listed above), the redistributing provider will complete COVID-19 Provider Redistribution Plan – Immunization (virginia.gov). Providers entering their redistribution plan ensure that VaxMaX contains accurate inventory information for both the redistributing provider and the recipient.
Any provider that desires to redistribute vaccines will need to complete a redistribution agreement (see question 7. for completing a redistribution agreement). Redistribution agreements are needed any time a site plans to send vaccine to another location for permanent storage and administration.
Transport refers to moving, or repositioning vaccine to a temporary vaccination site while maintaining the cold chain, for an event, after which the vaccine is returned to its originating permanent storage location. Ownership does not change during transport, so no additional documentation is necessary.
Redistribution refers to packing vaccine by personnel who are familiar with qualified pack-out materials and temperature monitors, for shipment by a third-party vendor or transfer to a satellite vaccination site for permanent storage while maintaining the cold chain. Documentation is required for all redistributions.
Additional recipient sites may be added by submitting another VDH COVID-19 Redistribution Plan. Recipient sites previously submitted do not have to be included.
Yes. Redistribution paperwork is required to redistribute COVID vaccine regardless of the number of doses being redistributed.
No. A redistribution agreement is only needed once per location.
No. Only the site receiving the vaccine originally and redistributing it to recipient sites completes the redistribution paperwork. Recipient sites receiving the redistribution do not complete redistribution paperwork.
